WIMBERLEY LIONS CLUB
Meeting Agenda –June 16, 2009


After dinner Lion Larry Williams provided the invocation and lead the Pledge of Allegiance. Past District Governor Dave Slider Led us in song.

Lion Russell Cox inducted two new Lions: Moe Othman, abuothm2@yahoo.com and Gene Pimentel, poorepomona@yahoo.com. Both new members are sponsored by Lion Linnea Bailey.

Lion Lane Hartsock honored Lion Rebecca Stoian with the Silver Spur Award for outstanding service within her first year of club membership. She is the winner of a district-wide competition.

Lion Beverly Nesmith presented a honorary Lion Membership to Jo Bourke for her many years of dedicated service in Bar-B-Que.

PDG Dave Slider gave a short history of how Melvin Jones was able to create a service organization called the Lions. His talk inspired the Board and Officers to their commitment to serve the club and community for the next year. Governor Slider then installed the officers for next year explaining their duties.

Lion Frank Williams announced and presented the Lion Of The Year to Lion John Lyon.

Lion Dan Williams conferred a Melvin Jones Fellow to Lion Frank Austin. Lion Lane Hartsock conferred a Melvin Jones Fellow to Lion Frank Williams. This is the Club’s most prestigious award for an individual Lion.

Lion Frank Williams assisted by Lion Lee Gibson, presented Presidential gifts to his officers, Board, and those that were of special help during the last year such as Lions Don Campbell, Frances Jones, and Morris Haggerton.

Lion Frank Williams passed the gavel to the new Lion Boss, Lane Hartsock. He also provided him with the hand-me-down leather briefcase and the book on leadership that originally was presented by Past President Michael Murphy.

The new Lion boss, Lane Hartsock then presented Has-Been Lion Boss with a Plaque documenting his service, a Cabelas gift certificate, and the coveted Past President Pin.

1. CONSTITUTION AND BY-LAWS COMMITTEE
* Assure that the Club operates within the parameters of the International, State and Local constitutions and by-laws.
* Recommend changes to the Constitution and by-laws as they become necessary.

2. DONATION COMMITTEE
* Select and recommend specific donation recipients and donation amounts from the list of prospective donees
* Coordinate the donation budget with Treasurer’s budget allowance for Club donations
* Verify the worthiness of the donee organization in terms of quality, management and ideals consistent with Lions objectives and principles
* Present the proposed donation budget to the Board of Directors of Wimberley Lions International for approval, and then to the general membership of the club
* Plan and arrange for disbursement of donations to the donees during regular club meetings so as to maximize the image of the club as the organization fulfilling its mission, “we serve”.

3. FACILITIES AND BUILDINGS COMMITTEE
* Develop a plan and provide for any required new buildings and facilities at Lions Field.
* Coordinate plans with the Finance and Budget Committee to insure that proposed projects are included in the annual budget.
* Present proposed projects to the Board of Directors of Wimberley Lions International.
* Monitor approved projects for timely completion within budget.

4. FINANCE COMMITTEE
* Develop and prepare the Field & Administrative Budgets and Accounts.

5. GREETER COMMITTEE
* Make everyone (members and guests) welcome as they arrive for a Club meeting.
* Ensure all members wear their name badge.
* Help people to be seated with different members at each dinner meeting.
* Work with local sources (Realtors, New Neighbors, etc.) to meet and greet new residents and provide them with information on our Club and an invitation to come meet with us.

6. HISTORIAN
Research, accumulating and retaining historical facts and documentation of the activities and members of the Wimberley Lions Club.

* Fill in back accomplishment data into the defined procedure

7. LEO & YOUTH PROGRAMS COMMITTEE
* Work with youth of the community and maintain awareness of, and support for, other groups involved in youth activities.

* Work with the Wimberley LEO Clubs to provide direction and guidance as required.
* Work with, and coordinate LEO activities with the District and State Chairperson.

8. LION OF THE YEAR COMMITTEE

* Follow the activities of Lions in the Club
* Recommend improvements of procedures as needed

* Make sure new members attend Lions orientation meetings on 5th Tuesdays.
* Recognize outstanding service.
* Ensure grooming for future Club officers.
* Recommend "Outstanding Lion"

10. LIONS INFORMATION / WEBPAGE COMMITTEE
* Evaluate other Lions clubs internet activity
* Study the feasability of establishing an Intranet for Wimberley Lions Club
* Report the results of the intranet study to the Board
* Implement as per directed by the Board
* Periodically publish a Lions Information Newsletter summarizing Club activities, Market Day results and highlighting upcoming events
* Gather reports from officers and committee chairpersons

* Set up facilities for each meeting, including PA System, Badges & Bulletin Boards and clean up after the meeting and put everything away.

* Promote better communication with all MD Vendors by visiting them every month

15. MEMBERSHIP AND ATTENDANCE COMMITTEE
* Recruit and retain members and schedule Orientation Meetings at least quarterly.
* Ensure sponsors fulfill their responsibilities.
* Keep up to date on attendance - call any member who misses two consecutive meetings to ascertain the reason for the absence.
* Contact Members At Large (MAL) to review reason for MAL status & report results to the Board and follow-up on sick members status, including offers of help, as needed.
* Responsible for Flowers & Memorials. Send e-mail/call BOD/membership of deaths.
* Maintain Active/MAL Rosters with contact information and distribute as needed.
* Follow-up with members on dues delinquency.

* Create teams, collect entrance fees and coordinate travel to the event.
* Communicate with Fredricksburg Lions Club regarding our club’s participation and coordinate relevent activities.
